Background

One of Europe’s largest asset managers recognized the need to digitize the manual processes used by institutional fund managers and advisors in managing pension investment schemes. This insight led to the creation of a flexible, cloud-native solution. The Pension Investment Platform (TPIP) by EXcubed, designed to drive digital transformation in pension scheme management.

Problem

Until 2019, the entire investment workflow, including requirement gathering, scenario analysis, interactive proposal generation, and mandate monitoring was handled manually. With a growing user base, this method became inefficient, time-consuming, and prone to error. Key Question: How might we build a cloud-based platform that connects trustees, advisors, sponsors, and LGIM users while managing complex workflows effectively?

Approach

My approach began with a deep understanding phase involving close communication with the client, stakeholders, and end users to align on needs and expectations. I then moved into defining clear requirements, prioritizing tasks, structuring information architecture, and setting up user management. Finally, I designed low- and high-fidelity prototypes, conducted user testing, gathered feedback, and iterated to refine the solution.

Defining

To define requirements and user stories, I worked closely with the client through structured conversations and task mapping. I created a detailed task list outlining user roles, input types, character limits, and workflow dependencies to ensure clear alignment among stakeholders and smooth the path for design and development. We managed requirement gathering and documentation using an Excel sheet, which proved to be a simple yet highly effective collaboration tool back in 2019.

Final Product

Scheme Dashboard

A centralized interface that displays all pension schemes in a customizable table view. Users can apply over 20 filters, search schemes by name or attribute, and access detailed scheme information all designed for quick navigation and data visibility.

Workflow Management

A step-by-step process interface where different user roles (LGIM, trustees, sponsors) complete actions required to progress a scheme. The layout mimics familiar email-style UIs, making it intuitive for users to track progress, take action, and collaborate across roles.

Dynamic Reporting Dashboard

Interactive charts and reports generated in real-time based on workflow inputs. Users can filter data by date range, monitor KPIs, and download visual reports helping stakeholders make informed decisions quickly and efficiently.

Outcomes

The platform successfully replaced a manual pension investment process with a scalable, cloud-based solution. It improved collaboration among users, trustees, and sponsors by streamlining workflows and centralizing data access. Dynamic dashboards and reporting tools empowered users to make faster, more informed decisions. We launched the platform in 2021, and since then, we’ve been continuously iterating based on user feedback, refining the experience and adding new functionality through ongoing sprints.

Learning

We started prototyping in InVision Studio, which was not ideal at the time, but we continued until we were ready to adopt better tools, learning to switch quickly and efficiently. During client workshops and brainstorm sessions, I learned how essential it is to capture as many details as possible early on doing so helped identify issues sooner and build a stronger product. Continuous feedback also proved that iteration is key to designing systems that truly meet user needs and expectations.
